The machine takes one click; the eleven things attached to it take between two hours and two weeks to unwind. DNS TTLs, TLS reissuance, SPF records, outbound IP reputation, partner allow-lists, cron secrets and monitoring probes all outlive the server they point at. Miss the wrong one and you pay for the exit twice: once on the old invoice while it runs out its notice period, and again in downtime, reissued certificates, or a payment processor refusing orders from an IP nobody whitelisted.

The checklist below is ordered by lead time, longest first. It assumes a typical budget VPS running a site or two, mail for one domain, and a handful of scheduled jobs. Public-internet items come first because DNS propagation and certificate issuance cannot be accelerated by working longer hours.

Two Clocks, One Real Deadline

Two schedules run during an exit. The first is your DNS TTL: a record with a 3600-second TTL stays cached for an hour after you change it, and some ISP resolvers hold it longer. Drop every relevant TTL to 300 seconds at least 48 hours before cutover so the switch window collapses to five minutes. The second is the provider’s notice period — commonly 7 to 30 days, sometimes “end of current billing term” — plus the retention period before the old disk is destroyed, which ranges from immediately to 7 days.

Notice period

Disk retained after cancel

Realistic exit time

None (immediate)

Wiped at once

Build first, cancel last

7 days

0–7 days

5–7 days

30 days

7–30 days

14–21 days

End of billing term

7 days

Up to 30 days

Calendar three dates before you start: cutover (T−0), cancellation submission (T−3 at the latest), and old-disk destruction (T−3 plus retention). Keeping the old server alive an extra week on a $10 plan costs about $2.30. Cancelling early to save that and then finding a forgotten MX record is the definition of a false economy.

DNS: Inventory Before You Change Anything

Dump the zone and diff it against the new one rather than retyping from memory. The records people forget are never the A records — they are the MX pointers, SPF and DMARC TXT strings, search-console verification TXT entries, SRV records for chat or game services, and AAAA records pointing at an IPv6 address that was configured once and never touched again.

dig +short A example.com
and
dig +short AAAA example.com
— confirm both families, not just IPv4.

Lower TTLs to 300 on A, AAAA and CNAME 48 hours before cutover; leave MX alone until mail is confirmed working on the new host.

Switch the lowest-traffic subdomain first and verify it externally before touching the apex.

Keep the old zone contents in a timestamped text file for rollback.

Verify from outside your own network. A record can look correct on a laptop and be stale on a mobile carrier for hours. Query public resolvers directly —
dig @1.1.1.1 example.com
and
dig @8.8.8.8 example.com
— and confirm both return the new address before submitting the cancellation. If the old provider also hosts your authoritative nameservers, export the zone file first: once the account closes, the editor goes with it.

TLS Certificates: Reissue, Do Not Copy

If you use Let’s Encrypt or another ACME certificate, reissue on the new server rather than copying
/etc/letsencrypt
. A copied directory keeps renewal configuration that references old paths and old webroot hooks; the first renewal after the old server disappears fails silently and you discover it at expiry, 90 days later. Issue with
certbot certonly --standalone -d example.com -d www.example.com
, then prove the renewal path with
certbot renew --dry-run
before cancelling anything.

Paid certificates need a different check. Many budget single-domain certificates cannot be reissued for a new IP within the term, and some resellers charge $10–$30 to reissue. Note the issue date and expiry, and decide whether the remaining value is worth chasing a reissue at all — a free ACME certificate makes this line item disappear on the next move.

IP Reputation and Third-Party Allow-Lists

Your outbound address carries history. If it sent mail it has sender reputation; if it sat on a shared block it may inherit a neighbour’s. Capture three facts before you go: the PTR record, blocklist status against at least two lists, and every third party that whitelists by address.

Item

Where to check

Time to fix after cancel

PTR / reverse DNS

Panel or
dig -x

5 minutes if new IP has rDNS

Blocklist status

MXToolbox, Spamhaus lookup

Days to weeks if listed

Payment API allow-lists

Stripe, bank portals, PSP dashboards

Hours to days

Partner firewall rules

Client and vendor configs

Up to a week

Uptime monitoring probes

Monitoring tool, status page

Minutes

The allow-list item causes the most business damage. An store whose payment API whitelists your server IP stops taking orders the moment the address is released, and the fix requires a ticket to a third party with a response time measured in days. Enumerate every partner holding your IP before you begin the migration, not after the card declines.

Email: The Domain That Dies Quietly

Three things break when a mail server is cancelled: relay configuration, SPF (which may authorise the old address), and PTR. An SPF record that still includes a released IP is a spoofing vector and can break DMARC alignment once receivers see the old address is no longer sending. Move SPF to the new sender, remove the old IP, and keep DKIM keys stable so signatures survive the move.

Empty the queue before powering down. Run
mailq
or
postqueue -p
; a queue of 200 messages is lost entirely at cutover unless it is flushed or migrated. Check the new host’s outbound policy too: some budget VPS providers throttle port 25 to 100 messages an hour, which turns a newsletter into a two-day operation and a support ticket.

Data, Cron and the Verification That Proves It

Take a full backup, restore it to the new server, and then prove it from the application side: log in, place a test order, send a test email, run one cron job by hand. An archive that extracts cleanly can still be missing file ownership, database grants, or the uploads directory if the exclusion pattern was wrong.

Two more audits close the list. Run
ss -tulpn
on the old server and record every listening port with its owning service — a forgotten dashboard on a high port is the classic post-migration surprise, and it stays invisible until someone else finds it. Then revoke every credential tied to the host: API tokens, deploy keys, database users bound to
localhost
, and backup storage access keys. Those secrets outlive the server that created them, and a cancelled VPS whose old token can still write to your backups is a migration that never actually finished.

If you are picking the replacement while this checklist is still fresh, our VPS comparison table shows renewal prices beside specs, and the main site lists current plan tiers by region — both matter more than the intro rate once you have done this migration once.

If you’re on the hunt for a reliable yet affordable virtual private server (VPS), you’re in the right place.
